What's the difference between automations and systems?
Systems are the tools your business runs on, like your CRM, booking calendar, invoicing and client portal. Automations are the workflows that connect them and handle the repetitive jobs, like replying to enquiries, sending reminders and chasing payments. We set up both so they work together.
What tools do you work with?
We work with the tools most small businesses already use, such as Google Workspace, Microsoft 365, HubSpot, Calendly, Stripe, Xero, Shopify and Webflow, connected with platforms like Make and Zapier. If you use something else, we'll check it can connect before we start.
Do I have to change the tools I already use?
Usually not. We build around the tools you already have wherever we can. If something is slowing you down or can't connect, we'll recommend an alternative and explain why before anything changes.
How long does it take to set up?
It depends on what you need. Setup takes a minimum of 2 weeks, and larger systems take longer. Once we've scoped everything on a call, you'll get a timeline in writing before we start.
What does a monthly plan include?
Your plan covers setting up the automations and systems we agree on, keeping an eye on them, fixing anything that breaks, small changes and a regular check-in on what to improve next. Everything included is agreed in writing before we start.
Is there a minimum term?
Plans have a 6-month minimum so there's time to set things up properly and see results. After that, they run month to month. There's no setup fee and no long lock-in.
Who owns the automations and my data?
You do. Everything is set up in your own accounts, so your workflows, customer data and records stay yours. If you ever stop working with us, it all keeps running in your name.
Is my data kept secure?
Yes. We use each tool's official connections, only access what a workflow needs, and work inside your accounts rather than copying data elsewhere. You can remove our access at any time.
Can AI reply to my customers?
Yes. An AI assistant can answer common questions by email or chat using your own business information. You choose whether it replies on its own or drafts replies for you to check and send.
What happens if something stops working?
We monitor your workflows and get alerted when one fails, so most issues are fixed before you notice. Fixes are part of your monthly plan, not an extra charge.
Do I need a website from you to use these services?
No. We can connect automations to the website and tools you already have. If your website is holding you back, we can redesign it alongside your systems.
